Define the entry experience.
Work backwards from the guest arriving at the venue.
- Identify entrances, queue areas and any separate ticket tiers.
- Decide who handles guest questions away from the main queue.
- Confirm the seating or general-admission plan.
Prepare the people and devices.
Test the actual setup you plan to use on the day.
- Confirm staff access and the devices used for scanning.
- Check power, charging and venue connectivity.
- Review supported scanner and check-in behavior with your team.
Rehearse the awkward cases.
Exceptions should have an owner before the doors open.
- Test a valid ticket and the duplicate-check-in process.
- Agree how staff handle unreadable codes and guest name questions.
- Confirm how cancellations and refunds appear in the entry workflow.
Run a final handoff.
Give the team a short briefing and a clear escalation route.
- Assign an entry lead for each shift or entrance.
- Keep the current event configuration and support contact available.
- Review entry activity and lessons after the event.
